Compared with Spotlight Reporting
Spotlight Reporting alternative for multi-entity Xero groups
By Paddy Carroll ·
Spotlight Reporting is the better choice if you need intercompany eliminations today, consolidated forecasting, or a tool an accounting practice can run across many client groups. APBuddy Reporting is narrower: consolidated reporting for a group running on Xero, with controls that check whether every entity’s ledger actually closed. If what you want is a forecasting and advisory platform, Spotlight does more of that than we do, and this page will not pretend otherwise.
Everything said here about Spotlight comes from its own website and help centre, checked on 12 October 2026. Products change, so check anything that decides it for you against their current documentation.
What does Spotlight Reporting do for a group of Xero entities?
Spotlight consolidates organisations into a group report, eliminates intercompany balances, converts currencies, and extends the same group into consolidated forecasting. Its help centre says Spotlight Reporting is designed for consolidations of up to 75 organisations, and that a group’s data can come from Xero, QuickBooks Online, Excel and other sources, with a one-click import of the whole group when every source is Xero.
Eliminations are handled three ways, according to its help article: remove an intercompany account’s full balance automatically each month, add adjustment entries to an entity where an account mixes intercompany and outside transactions, or create a separate eliminations organisation holding the offsetting entries. Currency differences arising from eliminations go to FX adjustment accounts.
For currency, Spotlight converts using XE.com rates — month-end or monthly average for the profit and loss, month-end by default for the balance sheet — and lets you enter your own monthly rates instead. An FX reserves line balances the converted balance sheet.
Spotlight markets to accountants and advisors, and separately to business owners and CFOs, franchises and larger enterprises. Its advisor plans bundle reporting, forecasting and dashboards.
Where is Spotlight the stronger choice?
Spotlight is stronger in three places, and each of them could decide it on its own.
Intercompany eliminations. APBuddy Reporting does not currently perform them — it is on our roadmap, not in the product. If your group has material intercompany trading and you need it netted out in the consolidated numbers now, Spotlight does that and we do not.
Forecasting. Spotlight offers consolidated forecasting for groups. We do not offer budgeting or forecasting at all. If the job is planning the next twelve months rather than understanding the last one, that is Spotlight’s ground.
Practice use and mixed ledgers. Spotlight is built for advisors running reporting across many clients, and accepts data from more than one accounting system. APBuddy Reporting is built around Xero organisations within a single group, and onboarding is done with you one group at a time. A practice wanting one tool across its client base, or a group with some entities outside Xero, is better served by a product designed for that.
Where does APBuddy Reporting fit instead?
APBuddy Reporting fits a group whose problem is less “produce the group report” than “can I trust the numbers in it”. The product is built around checking the ledgers underneath the consolidation, across every entity at once.
Close lag is measured rather than assumed. Every journal carries the period it hits and the date it was entered, and the gap between them shows, by value and by entity, how much of a month was still moving after you signed it off. Our guide on measuring when a close actually finished explains the method.
Duplicates are looked for across entity boundaries, matched on account, amount and normalised description within fourteen days, which per-entity review cannot do because no single ledger holds both halves. Accounts that posted in at least four of the previous five months and went quiet are flagged as possible missed accruals, and lines more than three standard deviations above an account’s twelve-month norm are flagged as outliers. The close controls page gives every threshold.
Gaps understate visibly. An account not yet mapped to the group chart is excluded from the totals and listed separately with its value and entity. Where an FX rate is missing, the consolidated reports carry a warning with the gap count and the untranslated amount per currency. Rates are stored per period, so a restated period reproduces the figures you published.
And the analysis is traceable. Board briefs and month-end memos are written from the consolidated figures and saved with citations to the periods, entities and accounts behind each number. The AI analysis page describes how.
None of this is a claim that Spotlight lacks equivalents. If these checks matter to you, ask any vendor you trial, including Spotlight, to show them working on a month you have already closed.
How do the two compare side by side?
| Spotlight Reporting | APBuddy Reporting | |
|---|---|---|
| Built for | Accountants and advisors; also business owners, franchises, enterprise | Finance teams in multi-entity groups on Xero |
| Ledgers | Xero, QuickBooks Online, Excel and others | Xero |
| Intercompany eliminations | Yes — automatic by account, or by adjustment | Not yet; on the roadmap |
| Currency translation | XE.com rates, or your own monthly rates | Average rate for P&L, closing for balance sheet, stored per period |
| Forecasting and budgeting | Consolidated forecasting | Not offered |
| Close lag, cross-entity duplicates, missed accruals | Ask them to show you | Built in, across every entity |
| Pricing model | Published monthly plans, tiered by number of organisations; 14-day trial | Private access, starting with a call |
How should you decide?
Decide on the job, not the feature count. If you need eliminations in the consolidated numbers this month, consolidated forecasting, or one tool across many client groups, choose Spotlight — that is what it is built for, and we would rather you knew before a trial than after one.
If your group is on Xero, eliminations are light or handled elsewhere, and the question you keep failing to answer is whether a group figure is complete and final, that is the gap APBuddy Reporting is built to close. If a spreadsheet still covers it, the Excel comparison sets out when that is the honest answer.
